When planning a beach wedding, you’ll need to be even more organized than a regular wedding, because of the many variables involved. But don't let that scare you off from your beach wedding ideas…

It can still be a very romantic and special day, but planning little details now will ensure your wedding day goes without a hitch.

First, do your homework.

Start with your wedding planning checklist in hand and remember to check off any of these items as you go through them.

Collect items like photos from wedding magazines, such as

wedding gowns or beach wedding dresses,
bridesmaid dresses,

wedding rings and accessories,
and beach wedding favors.

You may ask how you’ll organize all this information. Here are some ideas to get you started.

Get a 3 ring binder
It doesn’t have to be elaborate. Anywhere from ½ an inch to 3 inches, depending on how much information you think you’ll collect.
Get dividers to label your categories - i.e. wedding dresses, flowers etc.
Get top insert plastic sheet protectors - to collect all that information you’ve saved and put them in each category that you’ve labeled.

It would also really help you to have dividers for:

Guest lists/ and guest RSVP responses.
Wedding planning checklist and timetable.
Vendor prices, packages, services by category.
Do it yourself ideas.
Gift lists for bridal party and post wedding gifts you'll receive and the names of who gave them to you.
Thank you notes you've sent checklist.
E-mail addresses and contact information for important wedding contacts.
Seating chart list & table layout ideas.
Your wedding registry printed out.
Fabric swatches or color samples to take with you as you keep the color scheme as close to possible in your wedding items.

You’ll find cleaning out your binder every few weeks will cut down on clutter and confusion, and will keep your wedding organizing easy to follow. Only keep those things you’ll really need.

Other important planning tools are a large white board wall calendar, a portable device or a computer to keep dates and vendor meetings and deadlines easily accessible.

Finally, when you interview different wedding professionals and vendors, have your list of questions written out on a clipboard or notebook beforehand.

Take notes on their answers and any important information they give to help you make an informed decision on whom to choose.

It is wise to interview at least 3-4 wedding vendors, or service providers, and visit many reception venues if you choose to have your reception away from the beach, before you sign on with someone.

Remember to get every promise in a written contract, most professionals will do this anyway.

If you’ve kept your wedding organizing binder updated and thorough and asked the important questions of each professional while visiting them in action (if possible), you’ll be able to wisely choose the ones you feel will help fulfill your wedding day vision the best.

Don’t feel shy about delegating.

Yes, it is the age old problem of “not wanting to ask for help”.

However, this is a day you will appreciate extra help just to save on your own stress and sanity. Just be sure to pick reliable people you know you can depend on.

Someone can be in charge of setting up the "wedding stuff" guest book, baskets of water bottles, sun block or flip flops if you choose to have those items).

Have a friend hand out the wedding programs.

Are you short on extra funds? See if the groomsmen, or other friends, can set up and tear down any rented equipment for you to save on that extra fee.

Who can be assigned the task of bringing the wedding gifts to your home?

Of special importance will be any money envelopes guests will have for you. Assign someone you trust the task of keeping these in a safe place, or a locked decorative box, near the person you’ve delegated this task to.

You'll find wedding organizing is not as tough as you may have thought it would be, and your stress will be reduced greatly when you have an organized planning binder to keep all your ideas and favorite photos together.
